Understanding Control Rooms in Grabyo Live

Written by Yoanna Hristova

The Control rooms page is the parent page for managing live production rooms in Grabyo Live. It is where an operator or administrator can view every available control room, understand its current state, launch a room, open the room workspace, edit its setup, stop it, or remove it when it is no longer needed.

Video walkthrough

This walkthrough covers the Control rooms page, creating a room, editing room setup, and starting and stopping a room.

The Control rooms page

The main Control rooms page displays a table of all control rooms available to the account. Each row represents one control room and gives enough information to decide whether it is ready to use, where it is hosted, and what actions can be taken.

  1. Use the CHECKBOX to select one or more control rooms for bulk actions, such as deleting selected rooms

  2. Check the NAME column to identify the room to launch, edit, or manage, for example Test 101

  3. Read the STATE column to see whether the room is ready, active, or not currently running, for example Standby

  4. Confirm the ASPECT RATIO and TIER to check the output shape and the capability level assigned to the room

  5. Check the REGION and CLOUD INSTANCE columns to see where the room is hosted and which infrastructure it will use when started

  6. Select the ROOM ICON to open the control room workspace and enter the production interface

  7. Select the PLAY button to start a room in standby; once started it changes to a WATCH icon for remaining run time

  8. Select the THREE-DOT MENU to edit, stop, or delete that room, depending on its current state

✅ Tip: Check the State column before starting a room. If a room already shows as running, use the watch icon to extend its duration rather than starting a second room.

Creating a new control room

The + New control room option opens the setup form, accessed from the breadcrumb path Control rooms → + New control room. Required fields are marked with an asterisk.

Before starting, plan the room details, required sources, video mixes, encoders, audio tracks, layers, outputs, and the cloud resources needed to run it.

  1. Enter the NAME to set the display name for the control room

  2. Select the TIER from the dropdown to set the room capacity level

  3. Choose the REGION where the control room will be hosted

  4. Set the PROXY QUALITY used for proxy and preview workflows

  5. Select the ASPECT RATIO to define the production format; the form defaults to 16:9

  6. Select the default VIDEO ENCODING PROFILE for the room

  7. Select the default AUDIO ENCODING PROFILE for the room

  8. Select SAVE to create the room, or BACK to return without creating it

✅ Tip: Set the aspect ratio and encoding profiles correctly at creation. Changing them later affects layouts, encoders, and outputs already built in the room.

Started control rooms and duration

After a control room is started, the row action changes from the play button to a watch icon. The watch icon opens the running-room duration panel, which shows the room name, the remaining time before the room stops, an Additional time selector, an Add time button, and a Stop now option.

  1. Check the STOP IN timer to see how much time remains before the room stops

  2. Select the amount of ADDITIONAL TIME required

  3. Select ADD TIME to extend the running duration

  4. Select STOP NOW only when the room should be stopped immediately

✅ Tip: Add time before the timer runs low. Control rooms stop automatically when the duration expires, which ends the production.

The three-dot menu

Each control room row includes a three-dot menu for actions that apply only to that room.

  1. Select EDIT to open the Edit control room screen and manage details, configuration, sources, layers, and outputs

  2. Select STOP to shut down a running room after production or testing; this option is disabled while the room is in standby

  3. Select DELETE to remove the control room permanently when it is no longer required

📕 Note: Do not delete a control room unless it is certain it is no longer needed. Check whether it is used for recurring productions, testing, training, or customer workflows before removing it. Deletion should be treated as a permanent administrative action.

Edit control room

Selecting Edit opens the Edit control room page, divided into tabs: Details, Configuration, Sources, Layers, and Outputs. Each tab manages a different part of the room setup.

  • Details — room name, tier, region, proxy quality, aspect ratio, and default encoding profiles.

  • Configuration — video mixes, video encoders, and audio encoders, including recording settings.

  • Sources — the live inputs available to the room, such as cameras, remote guests, and contribution feeds.

  • Layers — the graphic and production layers that can be switched or applied during a production.

  • Outputs — the destinations a production is sent to, and the encoders or mixes each one uses.

✅ Tip: Check every tab before a room is started. A room can start with an incomplete output map, which means a production can go live without reaching its intended destinations.
